Clinic Admin Guide

From building your clinic page to handling patient inquiries and managing subscriptions — complete handbook for clinic operators.

1. Getting Started

1.1 What is MyClinic?

MyClinic is a global medical tourism platform connecting Korean medical institutions with international patients. Officially launching on April 18, 2026, we are currently onboarding clinics progressively. This guide walks clinic administrators through every step of operating on the platform.

1.2 Sign-up & Approval Process

  1. Go to /signup/clinic and submit your clinic information.
  2. Our operations team verifies details and approves (1–3 business days).
  3. You will receive an approval email with dashboard access.
  4. Log in at /admin and start editing your clinic page.
📌 Required info: Clinic name, country, specialties, contact name, phone, admin language (Korean/English), email/password.

1.3 First Login & Dashboard

After approval, your first login lands on /admin. The left sidebar gives access to all menus:

  • Operations: Dashboard · Inquiries · Quotes · Notifications
  • Page: Edit · Blog · Gallery · Before/After
  • Analytics: KPI Dashboard · Reports · UTM · Competitors (Pro)
  • Settings: Account · Plan · QR · Domain · Ad Pixels

2. Building Your Clinic Page

Manage every aspect of your clinic on /admin/edit. This page is the single source of truth for the public-facing clinic landing page.

2.1 Basic Information

  • Clinic name / Tagline / Description — bilingual (Korean + English)
  • Address / lat-lng — used for embedded Google Maps
  • Contact: Phone, email, website
  • Operating hours: Weekday / Saturday / Sunday / Holidays
  • Established year, specialties, supported languages, certifications

2.2 Featured Treatments

Register 5–10 flagship treatments that patients most commonly ask about. Each treatment includes:

  • Name (KO/EN), description, price range (min~max, USD)
  • Duration, recovery period

2.3 Doctor Profiles

Register doctor names, titles, years of experience, profile photos, and bios in both languages. Place senior doctors first.

2.4 Gallery Upload

Upload interior / exterior / equipment photos. Recommended resolution: 1200×800 or higher.

2.5 Design Template

Choose from 8 theme templates. Custom brand colors can also be applied.

2.6 Bilingual Editing — Important ⚠️

🔑 Key principle: Korean originals that you entered directly are always preserved. Auto-translations are references only and never overwrite originals.
  • KO mode: Type in Korean → auto-translated to English → confirm modal → save
  • EN mode: Editing English does not touch your Korean originals
  • On the EN page, if English is empty, Korean fallback is shown (no blank spaces)

2.7 Preview & Publish

Use the [Preview] button at the top of the edit page to inspect the live rendering. While unpublished (is_published: false) the page is not accessible to the public. Click [Publish] when ready.

3. Responding to Patient Inquiries

When a patient clicks [Send Inquiry] on your clinic detail page, it lands in/admin/inquiriesautomatically.

3.1 Checking Inquiries

  • A notification email is sent to the admin on every new inquiry
  • The dashboard at /admin shows open-count badges
  • Filter by status (new / in-progress / completed) inside the inbox

3.2 Writing a Reply

Open an inquiry, write a reply, and save. The reply is emailed to the patient automatically. The operations team (contact@mediround.co.kr) is BCC'd.

💡 Tip: Clinics with faster average response times convert more inquiries into matched patients. We recommend responding within 24 hours.

4. Content Management

4.1 Writing Blog Posts

Publish treatment guides · patient stories · health tips on /admin/blog.

  • Free: Up to 3 posts per month
  • Standard / Pro: Unlimited
  • Bilingual authoring (KO + EN) with automatic translation assist
  • Uploaded images are auto-converted to WebP (800px feed, 400px thumbnail)

4.2 Before/After Cases

Upload before/after procedure cases on /admin/before-after.

⚠️ Medical advertising compliance: Publish before/after photos only with patient consent and in accordance with Korean medical advertising laws. Non-members see blurred images that prompt them to sign up.

5. Participating in Promotions

Time Sales and Group Buys are created and managed directly by the platform operations team. Contact the team if your clinic wants to participate.

5.1 Time Sale

  • Limited-time discount promotions (hours to days)
  • Maximum quantity cap creates patient urgency
  • Coordinate with ops team: treatment · discount % · max quantity · start/end time

5.2 Group Buy

  • Reach minimum participants → successful deal; fall short → automatic refund to all
  • Price can decrease as more patients join (structure to be agreed)
  • Clinics see matched patients under /admin/inquiries

6. Responding to Quote Requests

When a patient submits a quote request (treatment + budget), our matching algorithm forwards it to qualified clinics. Clinics submit quotes, the patient picks one and pays — then the match is finalized.

6.1 Viewing Matched Requests

Check incoming requests on /admin/quotes. You will see the patient's treatment preferences, budget, and optional images.

6.2 Submitting a Quote

  • Proposed treatment name (KO/EN), proposed price (USD), and a message
  • After submission, the patient compares quotes from all clinics
  • If the patient selects your quote → they pay via PayPal → match is confirmed
💡 Fees: A 10% platform fee is charged to the patient on top of your quote. Your clinic receives the proposed price in full.

7. Analytics & Performance

7.1 Dashboard KPIs

Key weekly/monthly metrics on /admin:

  • Page views (total / this week)
  • Likes
  • Inquiries · Matched quotes
  • Ranking (this week vs last week)

7.2 Analytics Page

Dive deeper on /admin/analytics: visit trends, geographic/device breakdown, conversion funnels, time-of-day patterns.

7.3 UTM Campaign Tracking

Track external ad campaigns on /admin/utm. QR codes embed UTM params automatically, enabling offline-to-online attribution.

7.4 Competitor Comparison (Pro)

Benchmark against clinics in the same category on /admin/competitors.

8.2 Requesting an Upgrade

  1. Go to /admin/upgrade
  2. Select the plan and fill in contact details
  3. Submit the request and wait for the operations team to contact you
  4. Payment method is automatically selected by your clinic's country:
    • Korea (KR) → Hyosung CMS direct debit
    • Other countries → PayPal Subscriptions
  5. Once payment is complete, your tier is activated automatically

8.3 International Clinics — PayPal

  • The ops team emails you a PayPal approval link
  • Approve the monthly subscription on PayPal
  • Webhook auto-confirms payment → your tier is activated
  • Recurring monthly billing until cancellation

8.4 Korean Clinics — Hyosung CMS

  • The ops team emails you a CMS payment URL
  • Register bank or card auto-debit on the CMS page
  • Ops team verifies payment → your tier is activated
  • Monthly auto-withdrawal

9. Advanced Features

9.1 Subdomain Setup (Pro)

Set your subdomain label on /admin/domain(e.g. vithera.myclinic.io.kr). Custom domains (e.g. vithera.com) are out of scope.

9.2 QR Code Generation

Generate QR codes for your clinic page on /admin/qr. UTM params are embedded automatically for offline campaign measurement.

9.3 Ad Pixel Integration

Connect external tracking pixels on /admin/pixels (Standard+):

  • GA4 Measurement ID
  • Meta (Facebook) Pixel ID
  • Google Tag Manager Container ID

9.4 Notification Preferences

Configure email notifications on /admin/settings(new inquiries, marketing, SMS, etc.).

10. FAQ & Troubleshooting

Q. How long does approval take?

Typically 1–3 business days. The ops team verifies clinic existence and specialty details before approval.

Q. My Korean content looks garbled.

All translation pipeline bugs were fixed before the 2026-04-18 launch. Korean originals entered directly are always preserved; auto-translation never overwrites them.

Q. How do I change payment methods?

Cancel the current subscription and re-subscribe. Contact the ops team for the full procedure.

Q. Can multiple admins share one account?

For security, we recommend one admin account per clinic. Additional members can be added via the ops team (platform admin).

Q. Too many inquiries — how to manage them?

Use status filters and template responses in the inbox. Standard+ tiers also support auto-labeling.

Q. How do I cancel my account?

Request cancellation on /admin/settings or email the ops team at contact@mediround.co.kr.
